Privacy notice

Care Cove (“we”, “us”) is committed to protecting your privacy. This notice explains how we collect and use personal information in line with the UK GDPR and the Data Protection Act 2018.

Who we are: Care Cove Alternative Provision, Care Cove short breaks and Care Cove private tuition are run by Care Cove Limited, 37 Townhead Street, Sheffield S1 2EB. You can contact us about your personal information at hello@carecove.co.uk.

What we collect: when you contact us or make a referral, we collect the details you provide (such as name, email, phone and the information in your message).

How we use it: solely to respond to your enquiry, arrange provision, and meet our safeguarding and legal obligations. We do not sell your data.

Holiday activity registrations

What we collect: when you register a child for a holiday activity, such as our half-term camp or a funded short breaks session, we collect your name, email address and phone number, where you live (Doncaster, Sheffield or elsewhere), your child's first name and age, which days or sessions you chose, and anything you choose to tell us about supporting your child. Please do not send medical records or details of a diagnosis through the form: our team will talk this through with you.

How we use it: to confirm your child's place, to arrange payment for the camp, to check eligibility for a funded place, to plan support so your child can take part, and to keep children safe during the activity.

Funded short breaks sessions: these sessions are funded by Doncaster Council's Short Breaks programme for children and young people with disabilities or additional needs. Registering for one tells us that your child may have additional needs, so we treat it as sensitive information. We may share your registration with Doncaster Council's Children's Commissioning and Short Breaks teams to confirm eligibility, and the council asks us for monitoring information about the sessions, such as the number of children who took part, their age range, the needs supported and attendance.

Who else handles it: registrations sent through this website are delivered to our team by an email delivery service that processes them only on our behalf.

How long we keep it: only for as long as we need it to arrange and run the activity, keep children safe and meet our reporting obligations to the council, and then we delete it securely.

Your rights: you have the right to access, correct or request deletion of your personal data. To exercise these rights, contact us at hello@carecove.co.uk.
